Invoice Generation

To generate Invoice for a report manually, open the report that you want to generate invoices for. Click Generate Invoice button in the Report console.

Complete the following fields:

  • Invoice Type:
    • For the Whole Report – one invoice will be generated for the whole report
    • For Clients – a separate invoice will be generated for each of the Clients included in the report.

This option is applicable for reports which were generated with Client, Matter and Workspace breakdown.

    • For Matters – a separate invoice will be generated for each of the Matters included in the report.

This option is applicable for reports which were generated with Matter and Workspace breakdown.

    • For Workspaces – a separate invoice will be generated for each of the Workspaces included in the report.

This option is applicable for reports which were generated with Workspace breakdown.

  • Invoice Template: select from Invoice Templates predefined by you (see Invoice Templates section).

The Templates determine the contents in the Issuer section and General information section of the invoice as well as how the report information will be presented.

  • For reports which were generated with Breakdown by Workspaces report, you can use Report, Workspace and Individual Item types of Template.
  • For reports which were generated with Breakdown by Matters report, you can use Report, Matter and Individual Items types of Template.
  • For reports which were generated with Breakdown by Clients report, you can use Report, Clients and Individual Items types of Template.
  • For reports which were generated with Breakdown by Instance report, you can use Report and Individual Item types of Template.

Note: If you want to create separate invoices for your clients but to use Workspace invoice template or Matter invoice template, you can generate reports with type Separate reports for each client in the profile and then to select Invoice Type “For the Whole Report”.

  • Recipient Information – select what type of information you need to be populated in the Receiver’s section of the invoice:
    • Use invoice mapping – The receiver information will be populated according to the Attorney Information which is set in the Invoice Mappings
    • Apply One-time recipient information – If you want to create an invoice occasionally for a one-time recipient and you will specify the receiver information ad hoc.

Ten additional fields appear to specify the receiver’s information.

    • Relativity Client Information – Matter/Client name and number will be displayed in the Receiver’s section in the invoice.

Note: If you generate an invoice with type ‘For the whole report’ and select the ‘Relativity Client Information’ option, the Receiver’s section in the Invoice will be blank.

  • Additional Information – select from the same options available for Recipient Information.

The field determines what type of information to be populated in the Additional Information section of the invoice. (optional)

Additional Information section is displayed in the Invoice pdf only when this field was populated upon the Invoice generation.

  • Invoice Mapping Type – select a Mapping type if you have selected Use invoice mapping option in the Recipient Information field or in the Additional Information field as well as if you are going to use Send Invoice to Mapped Attorneys option (see Invoice Mapping section)
  • Send Invoice to Mapped Attorneys – the generated invoices will be sent to the mapped Attorneys according to the Invoice Mappings.
  • Email Recipients – you can send the Invoices occasionally to specific email addresses, independantly from the ‘Send Invoice to Mapped Attorneys’ option. A .ZIP file containing all the Invoices will be sent to the specified email recipients.

Once you click Save, the Invoice generation request is created and will be picked up by the MaxBilling Invoice Generator Agent.

All generated invoices are available for review, download and additional sending under Invoices tab.
